- Sign in, open Your account and choose Delete account. It works the same in the SantaiPOS app and on santaipos.com.
- A business owner's account is closed straight away and deleted for good after 30 days. Until then you can restore it.
- We keep only billing records, which tax law asks us to keep for 7 years.
1. Delete your account
- Sign in to SantaiPOS, in the app or at santaipos.com.
- Open the menu with your name at the top and choose Your account.
- Under Delete account, choose Delete account… and read what will be deleted.
- Confirm with your password (or with Google, if that's how you sign in), type DELETE and choose Delete my account.
We email you to confirm. Before you delete, you can download your data on the same page (Download my data).
2. If you can't sign in
Email [email protected] from the email address on your account and ask us to delete it. We'll check that the request really comes from you, and reply within 21 days, as the Personal Data Protection Act 2010 requires.
3. What is deleted
- If you own a business: your account is closed at once. Your paid plan is cancelled (there's no refund for the time left), you and your staff are signed out, and your registers stop selling. After 30 days we permanently delete your account and everything your business keeps in SantaiPOS: stores, items, inventory, customers, receipts, refunds, invoices, staff, devices, pictures and settings.
- If you're staff at someone else's business: your sign-in, name, email and photo are deleted at once. The business keeps its own records, such as receipts that show you as the cashier, and the staff profile it uses on its registers.
- Google sign-in: if you signed in with Google, we also delete the record of you that Google Firebase keeps for us.
4. What we keep, and for how long
- Billing records of your SantaiPOS plan (invoices and payments, held with our payment provider Stripe): 7 years, as tax and accounting law requires.
- A note that an account was deleted, without your name or email: when it happened, how many stores and receipts it had, the reason you chose (if any) and the billing reference for the records above.
- Security and access logs: up to 12 months, unless needed longer to investigate an incident.
5. Changed your mind?
For 30 days after closing a business owner's account, use the Restore my account link in the email we sent you, or simply sign in again and choose Restore my account. Everything comes back as it was; only the paid plan has to be chosen again. A staff sign-in can't be restored, but the business can add you again.
6. Your business's own records
Malaysian tax law asks businesses to keep their sales records for 7 years. Once your account is deleted we can't get them back, so download your data first: Your account → Download my data gives you a ZIP of spreadsheet (CSV) files with your stores, items, customers, receipts, refunds, invoices and staff.
